All students must check out of their rooms within 24 hours of their last exam, and complete the check-out process, unless they have applied for the Christmas break stay if eligible. Residents who applied for the Christmas break stay by December 16th will be charged $281 to their student account on December 20th.
Please review the Campus Portal for your individual Check-out date. During the Christmas break period (December 21, 2024 - January 7, 2025), students are permitted to leave their belongings in their accommodation but may not access their residence during the break without permission per the Student Code of Conduct.

Fall Check-Out Process
If you are checking out of your room, please complete the following steps:
- Clean your room
- Any damages found in the room will be charged to the residents of the room or apartment. For damages found in the common areas of the apartment, the charges will be equally distributed among the residents unless one student takes responsibility.
- Rooms must be returned to their original setup as outlined on the housing website. If rooms are not reset, are missing furniture, or have extra furniture, a fine will be applied to your student account.
- Every resident is expected to clean their area and help clean the common spaces.
- A checklist will be posted on your door listing what you need to clean.
- After you finish cleaning your space, please fill out a room condition report so that we can ensure we appropriately assess your spaces.
- Each resident is required to sign out with a RA/Residence Director after completing the cleaning. If you do not sign out and clean your area, a fine will be applied to your student account.
- Housing keys must be returned in a clearly labelled envelope with name/ID# and room# to the Service Hub during working hours 8.30-4.30 and the after-hours drop box near the Campus Store Café only in case SH is closed. If we do not receive your key(s), $50/key will be applied to your student account.

Check-in for Students Transitioning from Fall Housing to Spring Housing
Current Fall students only
- If you have submitted the form for a Christmas break stay and you got an email confirmation that you are eligible (have an assigned room for Spring and have no Holds), you don't need to check in as you stay in the same room for the Spring semester.
- If you have a hold on your account, you will not be allowed to stay for Christmas break. Please resolve your hold as soon as you can by contacting the Service Hub.
- Your room should be inspected by the RA/RD before the Christmas break.
Complete the items on this list before you leave for the Christmas break!
Your Room:
- Empty all trash cans and recycling in room
- Empty all perishable food items from fridge
- Take garbage to the large garbage bins outside
- Wipe down inside of fridge
- Unplug energy-consuming items in your room
- Ensure all food items are in sealed containers
- Leave room heater on low setting
- Remove any items on or near the heat register
- Ensure Bathrooms are adequately cleaned (for private washrooms)
- Remove all dirty clothing or hygiene items from room floor
- Clean and wipe down vanity sink
- Close and lock window
- Close blinds
- Lock your door
Lounge:
- Clean all personal items and return them to your room
- All garbage removed from lounge and taken to garbage bins outside
- Lounge Furniture in proper formation
- Remove perishable items from Fridge
- Wipe down any substances inside of the fridge

I don't need Spring housing - I'm not staying at TWU for the Spring Semester
1. Submit a ticket to withdraw your Spring housing application by November 8 to avoid the Spring non-refundable $500 prepayment charge.
2. Complete the Spring Check Out process above. You must leave your room within 24 hours after your last exam. Please review your Student Portal.
I am in Spring Housing at TWU but don't need a Christmas Break Stay as my plans have changed.
1. If you have requested the Christmas break stay, please edit the form you submitted by December 16th.

All Graduate students staying in DeVries may submit a ticket requesting to adjust their move-out date to December 20th. It should be requested no later than 7 days before their checkout date as stated in the Student portal.

I am a Student Leader returning on January 4-5 for a retreat- Do I have to register?
No, you don't need to register as Housing already has your name on their list. Confirming that there will not be a fee if you are a Student Leader approved by Student Life.
I am a Student Leader and want to stay from December 21 up until January 7 - Do I have to apply for the Christmas Break stay?
Yes - you need to register for the Christmas break stay. Even as a Student Leader, you will be charged the entire fee of $281.
I am a Student Leader and want to arrive a couple of days early before the training - Is this possible?

I am an athlete who has to be on campus during the Christmas break- Do I have to register to stay on campus?
Athletes will be permitted to stay on campus until December 23rd, as necessary. To request this extension (no fee), please file a ticket with the Service Hub.
If you need to stay longer or come back early (before January 8) you have to register for the Christmas break stay. You will be charged the entire fee of $281.
Some programs may cover the fee but that will have to be arranged with your coach/supervisor.
